We’ve teamed up with Sheffield Adventure Film FEstival (ShAFF) and youth hostelling charity YHA (England & Wales) to offer an exclusive opportunity to venture into the Victorian storm drain network beneath the city, for an underground audio-visual spectacular. Urban Caving Competition Terms and Conditions:

  1. How to participate:
    1. You can enter this competition by:
  • Twitter:  Follow The Outdoor City. Like, Retweet and Reply to the original competition post with what you're most looking forward to doing in the #FestivaloftheOutdoors.
  • Facebook: Follow The Outdoor City. Like the original competition post and tell us in the comments what you’re most looking forward to doing in the Festival of the Outdoors.
  • Instagram:  Follow The Outdoor City. Like the original post and tell us in the comments what you’re most looking forward doing to doing in the Festival of the Outdoors and tag a friend you’re going to be doing this with.
    1. Entry is free, no purchase necessary to enter this competition.
    2. One entry per platform is permitted per individual, but each individual is eligible to win only one pair of tickets in total.  Anyone found submitting multiple entries on a single platform (i.e. from multiple Twitter accounts) will be disqualified from the competition.
    3. The competition opens at 12pm on Friday 1st March and will close at 12pm on Friday 8th March.  After this date and time no further entries to the competition will be permitted.
    4. No responsibility can be accepted for entries not received for whatever reason.
    5. All winners will be chosen at random, providing they have fulfilled the entry requirements.
    6. Winners will be notified via the social media account they used to enter the competition.  We shall have no liability for Winner’s failure to receive notices due to spam, junk e-mail or other security settings or for Winner’s provision of incorrect or otherwise non-functioning contact information.  
    7. If Winner cannot be contacted, is ineligible, fails to claim the prize within 5 days from the time award notification was sent, the prize may be forfeited and an alternate Winner selected.
    8. If you are unable to take up the prize it cannot be transferred to another time or day and will be reallocated to enable someone else who is able to take the trip.
    9. Winners will be supplied with event information via email or social media messaging.
    10. The decision in respect of all matters to do with the competition will be final and no correspondence will be entered into.
    11. By entering this competition, an entrant is indicating their agreement to be bound by these terms and conditions.
  1. The prize, eligibility, liability and limitations
    1. Up for grabs are five pairs of tickets for an urban caving trip on Saturday 23rd March at 10:00-12:00 am in Sheffield.  These tickets are not transferrable to another day or time and cannot be exchanged for cash or any substitute item.    
    2. We are not responsible for inaccurate prize details supplied to any entrant by any third party.
    3. The competition is open only to people over the age of 18 and there is a minimum age of participants of 12 years of age.  Anyone between 12 and 18 years of age must be accompanied by an adult:  unaccompanied minors will not be allowed to undertake this trip.  
    4. Event attendees undertake the Urban Caving trip at their own risk. By entering, You agree to release Sheffield City Council and its subsidiaries, affiliates, advertising and promotion agencies, partners, representatives, agents, successors, assigns, employees, officers, and directors from any liability, illness, injury, death, loss, litigation, claim, or damage that may occur, directly or indirectly, whether caused by negligence or not.
    5. These trips may be subject to cancellation if adverse weather conditions arise, and the event organisers withhold the right to cancel any of the trips if any safety conditions at any time for any reason, are compromised.  
    6. If a cancellation should occur, we will endeavour to rearrange the trip, or exchange the ticket for an alternative event by Heason Events.
    7. You must be able to walk short distances in difficult terrain.  As this trip goes down into the underground rivers and Victorian structures underneath the city we regret that we are unable to make provision for those with additional mobility needs.
    8. Due to the nature of the activity participants should not be under the influence of alcohol or drugs.  Anyone suspected of this will not be permitted to take part.
    9. In order to take part in the urban caving trip you MUST bring with you: a pair of wellington boots, a walking pole, gloves and a change of clothes.  Equipment will not be available to loan.  People inadequately dressed or without the relevant equipment will not be permitted to take part.
  2. GDPR
    1. We will abide by Sheffield City Council’s Privacy Notice and current UK data protection legislation.
    2. We will require your contact details in order to provide the winner with relevant details.  Apart from event organisers (Sheffield City Council, Sheffield Adventure Film Festival (Heason Events) and the YHA (England & Wales), we will not disclose personal details to any third party without the entrant’s prior consent. 
    3. We will not keep your data for any longer than is required to administer this competition and the trip itself and will destroy our records one month after the trip has been undertaken.
    4. We intend to use images from the prize winners’ trip in publicity on our social media accounts, though you have the right to opt out.  Participation in photos or other publicity is not a condition of winning these prizes.
  3. General
    1. This is a unique opportunity to access the Victorian storm drains with permission from Sheffield City Council and under the supervision of qualified YHA guides, subject to public liability insurance and risk assessment. This activity should not be undertaken by the general public, and we do not endorse that anyone do so in any way, shape or form without prior permission and accompanied by qualified guides.
    2. We reserve the right to cancel or amend the competition and these terms and conditions without notice in the event of a catastrophe, war, civil or military disturbance, act of God or any actual or anticipated breach of any applicable law or regulation or any other event outside of our control. Any changes to the competition will be notified to entrants as soon as possible by the promoter.
    3. This competition is in no way sponsored, endorsed or administered by, or associated with, Instagram, Twitter or Facebook.
